Control message format on a per-recipient basis

Outlook 2000 and Outlook 2002 both support three e-mail formats: HTML, rich text, and plain text. Both versions also provide an option that determines the default format for new messages. To set the default format, choose Tools, Options, click the Mail Format tab, and choose the desired format from the drop-down list in the Message Format group of controls.

In some cases a user might want to always send to a particular recipient in a specific format. For example, some list servers don't handle HTML gracefully, requiring that messages be sent to the list in plain text.

A user can select a message format for each message that is different from the default format. Start a new message and choose Format, then select the desired format for the message.

Users can also configure specific contacts to use a specific format for all messages to that recipient. In Outlook 2000 running Internet Mail Only mode, open a contact and choose the Send Using Plain Text option on the General tab to always send messages to the contact using plain text. If running in Corporate/Workgroup mode, open the contact and double-click the contact's e-mail address to open the E-mail Properties dialog box. Select the option Always Send To This Recipient In Microsoft Outlook Rich-Text Format to send in rich-text format.

In Outlook 2002, open the contact and double-click the contact's e-mail address E-mail Properties dialog box. From the Internet Format drop-down list, choose the format you want to use for messages you send to the contact.
