| Import Outlook contacts into Access |
| |
If your users don't manage their contacts with a CRM application, they probably have lots of contacts stored in Outlook that they will want to import into an Access database. For example, perhaps you have a large customer contact list that you want to import into a database that your Web developers can access. The first step is to get the data from Outlook into Access.
To import data from Outlook 2002 into Access 2002:
Open Microsoft Access and start a new, blank database or open an existing database.
Choose File | Get External Data | Import, or choose File | Get External Data | Link Tables if you want to link the data rather than copy it. (Note: If data is imported, it's copied into the database; if it's linked, the data will update in the database whenever it's updated in Outlook.)
In the Import (or Link) dialog box, select Outlook() from the Files Of Type drop-down list.
Access shows the Choose Profile dialog box if there is more than one profile on the system. Choose the profile that contains the information to be imported and click OK. If you later want to select a different profile, restart Access.
(For Outlook 2000 and Access 2000 users, the process is very similar.)
After you select the profile, Access starts the Import Exchange/Outlook Wizard. In the wizard, select the folder to be imported, the table where it will be placed, and how the information in Outlook is mapped to the fields in the table.
When the wizard is complete, Outlook places the data in the target table. You can then modify or query the database as needed, or an administrator can create an ODBC connection on the computer to allow remote queries, including those made through a Web-based interface. |
